Switching IT Providers Without the Drama

Nothing stops working on day one.

Moving IT providers is mostly a transfer of knowledge and access, not a rebuild. Your email keeps flowing, your software keeps running, and your people keep working while WOLFTRAXX SYSTEMS takes over the parts nobody sees. The order below is deliberate: access and backups first, documentation second, changes only after that.

What we need from you

  • The name of the current provider or the person who “does the computers,” and whether they know you are switching. We can handle the conversation with them if you prefer.
  • Any admin passwords, portals, and license accounts you hold yourself. If you do not know, that is normal; finding them is part of the job.
  • The list of software and vendors the business depends on.
  • A signed proposal, which includes a written scope and a pricing schedule for the full term.

The first 30 days

Checklist beside a laptop
  1. Week 1: access and safety net

Kickoff call. Take over administrative access to Microsoft 365, domain, firewall, and vendor portals, and confirm the current backups actually restore. Enroll computers and servers in WOLFTRAXX SYSTEMS | Core so monitoring and support start immediately. Nothing visible changes for staff.

  2. Weeks 2 and 3: documentation and quick wins

Document the environment as it is: accounts, devices, network, vendors, licenses. Close the obvious gaps (multi-factor sign-in, a former employee’s account still active, an unprotected laptop). Introduce the Support Portal and how to ask for help.

  3. Week 4: the plan

Review what was found. Agree on what gets fixed now, what gets planned, and what is fine to leave alone, in writing, with prices for anything outside the plan.

What about the old provider?

Most handoffs are civil. We ask the previous provider for documentation and admin credentials, and the agreement you sign authorizes us to act on your behalf. If a provider will not release a domain, a license, or a password, the business owner’s authorization and the vendor’s own account-recovery process resolve it; it takes longer, not forever. Anything the old provider still bills you for ends on your schedule, not theirs, and we do not cancel anything on your behalf until the replacement is in place.

What does not change

  • Your email addresses, domain, and phone numbers stay yours. They always were.
  • Your line-of-business software keeps its vendor. We support the computers and network it runs on and coordinate with the vendor.
  • Your data stays in your accounts. WOLFTRAXX SYSTEMS administers them; it does not own them.

Questions worth asking any new provider

  • Who holds the admin passwords, and do I get a copy?
  • What happens to my data and documentation if we part ways?
  • What is included, and what is billed by the hour?
  • Will I get a written scope before I sign?

The IT Provider Conversation Guide has more. When you are ready, start a conversation or look at the plans and pricing. Scope, responsibilities, and pricing are confirmed in writing.
