Privacy Notice

Private-preview draft: revised for website-native inquiry forms, Cloudflare Turnstile, server-side delivery to HubSpot and visitor-initiated HubSpot sales chat. Form sending is disabled by default in this preview. Sloane review is required before publication; this draft is not legal approval or authorization to publish.
This Privacy Notice explains how WOLFTRAXX SYSTEMS LLC (“we,” “our,” or “us”) handles information associated with https://wolftraxxsystems.com (the “Website”) and direct communications with us.
Information We Receive
This private-preview Website includes website-native sales inquiry forms on Contact, the industry pages and the homepage closing section. It does not provide customer accounts or online checkout. When submission handling is enabled, we may receive information in these ways:
-
Sales inquiry forms: first and last name, email, business or organization name, and the topic you select. You may also provide a phone number, contact preference, general notes and optional business-context answers tailored to your industry or payment inquiry. Forms include inquiry identity and page context; a recognized industry can be retained on a merchant inquiry. No attachment upload is offered. We use these details to follow up about your request and maintain relevant business records. Submitting an inquiry is not blanket marketing or SMS consent.
-
Direct communications: information you choose to provide when you call or email us, such as your name, company, contact details, and the contents of your request.
-
Technical records: hosting, network, and security providers may process limited technical information such as IP address, browser type, requested pages, timestamps, and security events to deliver and protect the Website.
-
Business relationship information: if you request a quote or become a customer, additional information may be handled under the applicable quote, order, services agreement, vendor process, or other notice presented at that time.
Please do not send passwords, payment-card or bank details, health information, confidential files, or patient, client, customer, member or donor records through these forms or ordinary email. Sales forms are not support or emergency channels.
How We Use Information
We use information as reasonably necessary to:
- respond to questions and service requests;
- prepare requested quotes or coordinate services;
- operate, secure, troubleshoot, and improve the Website;
- maintain business records; and
- comply with legal obligations and protect our rights, customers, and systems.
Embedded Services, Cookies, and Similar Technologies
The private preview does not add an advertising pixel or separate behavioral-analytics tracker. Sales chat is optional and connects to HubSpot only when you select the companion wolf or the Chat button on a selling page. Embedded services can make technical, security and usage requests and use cookies or similar technologies under their own policies.
This private preview includes these third-party embedded services:
-
Website-native inquiry forms, Cloudflare and HubSpot: the fields render as part of this Website, not a HubSpot iframe. Cloudflare hosts the submission handler and provides Turnstile spam protection. Turnstile loads when a form page opens with scripts enabled and may process IP address, device, browser and interaction/security signals; these requests occur before submission. The server verifies the Turnstile result, checks a hidden bot-trap field and minimum completion time, and uses short-lived in-memory IP counters as best-effort abuse protection. A signed, time-limited form token associates the selected inquiry and allowlisted source page with a submission. We do not add an advertising tracker, marketing consent or SMS consent through this process. See Cloudflare’s privacy policy.
-
Inquiry processing: when sending is enabled and an inquiry passes validation, our server sends the submitted answers and limited form/page context to HubSpot as our inquiry processor so we can respond and maintain relevant business records. The inquiry-form process itself does not load HubSpot’s embed, tracking script or Google reCAPTCHA, and does not send your typed form answers to HubSpot before submission. Optional sales chat is a separate connection described below. HubSpot’s form reCAPTCHA does not protect API submissions; server-verified Turnstile is the gate here. We do not include arbitrary query strings, referrers, tracking cookies or calculator inputs in the submission. See HubSpot’s privacy policy. Phone and email remain alternatives. The private preview uses documented Turnstile test keys, which are not production bot protection, and sending is disabled by default. Processor arrangements, applicable consent requirements, retention and production security configuration require Sloane review before release.
-
Optional HubSpot sales chat: selecting the wolf or Chat button loads HubSpot’s script and chat frame. Before that choice, this chat integration sends no requests to HubSpot and sets no HubSpot cookies. After your choice, HubSpot and its delivery/security providers receive technical information including your IP address, browser/device details and current page URL; do not put sensitive information in page URLs. HubSpot may set security and open-state cookies when chat loads, before you agree to chat-history cookies. The widget displays HubSpot’s own cookie notice before chat input; agreeing can enable cookies that preserve chat history. Chat messages and any contact details you choose to share are handled by WOLFTRAXX SYSTEMS and HubSpot to follow up on sales inquiries. HubSpot’s widget notice states that it monitors and records chat for quality assurance. Chat is not an emergency or customer-support channel; existing customers should use the WOLFTRAXX Support Portal. Do not share confidential records, health information, payment or bank details, passwords or access codes. File uploads are disabled. Opening chat is not marketing or SMS consent. The built preview blocks HubSpot analytics and automatic collection of other forms using a selling-page Content Security Policy; it does not treat the chat-cookie prompt as consent to analytics. Browser/device settings can limit cookies, and you can close chat or use phone/email instead. Closing chat does not promise deletion of existing cookies or transcripts. Chat retention periods, access controls, processor terms, deletion procedures and consent wording remain subject to Sloane review before public release. See HubSpot’s privacy policy.
-
Google Maps on the Contact page: the Contact page offers an embedded Google Maps map that loads only after a visitor selects “Load interactive map”. Until then, no request for the map is sent to Google. The page also links to the address in Google Maps, which opens Google’s own site in a new tab if a visitor follows it.
When a visitor loads the map, or follows the link, Google may receive information such as the visitor’s IP address, device and browser information, the referring or requested page, and interaction information. Google may use cookies, local storage, or similar technologies under Google’s privacy policy for embedded services. The current Website code does not add a separate analytics integration that reports Google Maps activity to us.
Before public release, this draft, consent controls, processor terms, retention practices and actual form configuration require review. Any later analytics, advertising, chat or other embedded service also requires a notice and consent review before publication.
Sharing
We do not sell personal information. We may disclose information to service providers that help us operate communications, hosting, security, or business systems; to technology vendors when needed to address a request; or when required by law or necessary to protect rights and safety. Those providers handle information under their own terms and applicable agreements.
Retention and Security
We retain information only as reasonably necessary for the purposes described above, business records, dispute resolution, security, and legal obligations. We use reasonable safeguards, but no internet transmission or storage system can be guaranteed completely secure.
Your Choices
You may ask to access, correct, or delete personal information you have provided directly to us, subject to applicable law and legitimate recordkeeping needs. You may also ask us to stop non-essential marketing communications.
